1. General Provisions
This Privacy Policy describes how the mobile application Aivi (the “Application”) collects, uses, processes, and transfers user data.
By using the Application, you agree to this Privacy Policy.
If you do not agree with the data processing terms described herein, you must discontinue use of the Application.
2. Categories of Data We Collect
2.1. Data Provided by the User
While using the Application, users may provide:
- Name (if entered in profile)
- Email address
- Notes and tasks
- Calendar events
- Message text or message fragments (via connected integrations)
- Files uploaded for analysis
- Audio recordings submitted for transcription
2.2. Automatically Collected Technical Data
The Application may automatically collect:
- IP address
- Device type
- Operating system version
- Application logs
- Feature usage data
2.3. Location Data (Optional)
Precise (and, where applicable, approximate) geographic location of your device, collected in the background when the “Location Memory” feature is enabled. See the “Location Data (Location Memory)” section below.
3. Location Data (Location Memory)
What we collect. If you enable the “Location Memory” feature, AIVI collects your device’s geographic location, including precise (fine) location. Depending on your device and settings, location may also be collected as approximate location.
Background collection. When this feature is enabled, AIVI collects location data in the background — that is, even when the app is closed or not in use. Collection is low-frequency and based on significant location changes, not continuous high-accuracy tracking, in order to minimize battery and data usage.
Why we collect it (purpose). Location is used solely to power the “Location Memory” feature: AIVI remembers the places you have visited so that you can later ask the assistant questions such as “where was I on a given date” and receive an answer (for example, “Almaty” or “Dubai”). Location data is not used for advertising, marketing, or user profiling.
Consent and control. Collection of location data is optional and turned off by default. It begins only after you (1) turn on the “Location Memory” toggle in Settings, (2) review an in-app disclosure screen describing this background collection, and (3) grant the system location permission (Android: precise and background location; iOS: “Always”). You can turn the feature off at any time using the same toggle in Settings; turning it off stops all further collection of location data.
Where it is stored. Collected location points are transmitted over an encrypted (HTTPS/TLS) connection to, and stored on, AIVI’s own backend infrastructure. This infrastructure is hosted by a third-party cloud provider (DigitalOcean), with servers located in the European Union (Amsterdam), which acts solely as a data processor (sub-processor) on AIVI’s behalf under contract: it stores the data on AIVI’s instructions and does not use it for its own purposes. Location data is linked to your AIVI account.
Sharing. We do not sell your location data, and we do not share the precise location collected by Location Memory with any third party for advertising or marketing purposes. The precise location points are stored only on AIVI’s own backend (see above). Separately, certain analytics and attribution services we use (such as Firebase Analytics and Meta) may, as part of their standard operation, derive an approximate, region-level location from your IP address; this is standard behavior of those services, is not the precise device location collected by Location Memory, and is used only for analytics and attribution.
Retention and deletion. Location points are retained only while the “Location Memory” feature is enabled and while your AIVI account exists. Turning off the toggle stops any further collection. You can delete your account and request erasure of your associated data, including your stored location history, at https://aivi-assistant.com/delete-account/ or by contacting us at request@z-pool.com. We may also delete stored location data at our discretion — for example, if your account becomes inactive or your subscription lapses. Location data is also subject to the general retention limits described elsewhere in this Policy.
4. Use of Artificial Intelligence
The Application uses artificial intelligence technologies to:
- Analyze text content
- Generate suggestions and responses
- Create summaries
- Analyze tasks and calendar events
- Process uploaded files
- Transcribe audio recordings
AI functionality is implemented using:
- Proprietary AI models developed by ZPOOL FZCO
- OpenAI API services provided by OpenAI, L.L.C. (USA)
5. Data Transmission to OpenAI
To provide AI-powered functionality, the Application may transmit the following categories of user content to OpenAI:
- User-provided text content
- Notes and task descriptions
- Calendar event descriptions
- Files uploaded for analysis
- Audio recordings for transcription
- Technical metadata necessary to process the request
Data is transmitted solely for the purpose of generating AI responses and fulfilling user requests. Location data collected via the “Location Memory” feature is not transmitted to OpenAI or any other AI provider.
6. Data Not Shared with Third Parties
The following data is NOT transmitted to OpenAI or any third-party AI provider:
- User email address
- Phone number
- Internal user account identifier (user_id)
- Contact list data
- Location data (Location Memory)
- Passwords
- Payment card data
User-submitted content may contain personal information entered by the user, but no direct account identifiers are transmitted with such content.
7. OpenAI API Data Handling
Data transmitted via the OpenAI API:
- Is used solely to process user-initiated requests
- Is not used for advertising purposes
- Is not used for behavioral profiling
- Is not sold to third parties
In accordance with OpenAI’s API terms, data submitted through the API is not used to train OpenAI models, unless explicitly agreed otherwise.
OpenAI applies industry-standard security measures, including encryption in transit.
8. User Consent for AI Processing
Before the first transmission of user content to an external AI provider, the Application displays a clear notice explaining:
- What categories of data may be transmitted
- For what purpose
- How the data is processed
Data transmission occurs only after explicit user consent is obtained.
Users may choose not to use AI-powered features.
9. Purpose of Data Processing
User data is processed for:
- Providing Application functionality
- Executing AI-powered user requests
- Audio transcription
- File analysis
- Remembering the places you have visited (the “Location Memory” feature) so the assistant can answer where you were on a given date
- Technical support
- Security and fraud prevention
- Service quality improvement
10. Data Retention
Personal data is retained:
- Until the user deletes their account
- Or for no longer than one (1) year after last activity
- Or as required by applicable law
Location data collected via the “Location Memory” feature is retained while the feature is enabled and while your account exists; you can stop collection with the toggle and request deletion of your account and location history at any time, and we may also remove it at our discretion (for example, on prolonged inactivity or subscription lapse). See the “Location Data (Location Memory)” section above.
AI request data may be temporarily retained for quality assurance and abuse prevention.
11. Third-Party Data Transfers
Data may be transferred to:
- OpenAI, L.L.C. (USA) – for AI processing
- Cloud infrastructure providers acting solely as data processors on AIVI’s behalf
- Government authorities where required by law
We do not sell personal data or share it for advertising or tracking purposes.
12. International Data Transfers
Because OpenAI is located outside the UAE, user data may be processed on servers located in other jurisdictions.
We take reasonable measures to ensure adequate protection of transferred data.
13. Data Security
We implement:
- HTTPS encryption
- Restricted server access
- Internal data protection protocols
- Technical and organizational safeguards
14. User Rights
Users have the right to:
- Access their personal data
- Request correction
- Request deletion
- Withdraw consent
- Restrict processing
- Disable location collection at any time via the “Location Memory” toggle in Settings
- Submit complaints to relevant authorities

15. Changes to This Policy
We may update this Privacy Policy.
The latest version will always be available within the Application.
Continued use of the Application constitutes acceptance of the updated version.

This Privacy Policy is governed by the laws of the United Arab Emirates.
